Assistant Community Manager

Reports to: Community Manager

Status: Non-Exempt


Position Overview

The Assistant Community Manager supports the day-to-day financial and operational performance of the community. This role is responsible for assisting with accounting, collections, resident communication, vendor coordination and administrative operations while helping ensure the community runs efficiently and in line with company standards.

This position plays a key role in supporting the Community Manager, maintaining strong financial controls and helping deliver a positive resident experience.


What You’ll Do

Financial Operations

  • Support the financial operations of the community, including rent collection, payment processing and daily deposit preparation 
  • Accurately post rent, fees and other resident charges in the property management system 
  • Assist with account reconciliations, invoice processing and monthly reporting 
  • Review resident ledgers, identify delinquent balances and support collections efforts in accordance with company policy 
  • Help manage payables by reviewing invoices, coding expenses and coordinating approvals for payment 
  • Maintain accurate financial records and support month-end close procedures 

Resident Experience

  • Provide timely, professional support to residents regarding account questions, balances, notices and general concerns 
  • Respond to resident issues with urgency and professionalism, escalating when needed 
  • Support resident retention by helping create a responsive and well-managed experience 
  • Assist with move-in and move-out coordination, including account review, notice tracking and final charges 

Operations & Administration

  • Maintain accurate resident files, lease documentation and financial records 
  • Ensure transactions are entered correctly and records are updated in the property management system 
  • Support notice preparation, lease enforcement and delinquency follow-up in accordance with company policy 
  • Coordinate with vendors, contractors and internal teams to support community operations 
  • Assist with reporting, audits, file reviews and administrative tasks as needed 
  • Help ensure compliance with company policies, operational standards and required procedures 

Leadership Support

  • Support the Community Manager in overseeing daily operations and prioritizing community needs 
  • Help coordinate workflow between leasing, maintenance and office operations 
  • Serve as the on-site point of contact in the absence of the Community Manager 
  • Assist with vendor communication, resident escalations and day-to-day operational follow-through 
  • Support team accountability and help maintain consistent community standards 

Leasing & Sales Support

  • Assist with leasing activity as needed, including greeting prospects, touring apartments and supporting the application process 
  • Support occupancy goals by assisting with lead follow-up, traffic management and leasing conversion 
  • Help present the community, apartments and amenities in a professional and consistent manner 
  • Support marketing and resident engagement efforts as needed

Requirements

Qualifications

  • High school diploma or GED required 
  • Previous property management, administrative, accounting or customer service experience preferred 
  • Basic accounting knowledge and comfort working with financial records required 
  • Strong computer skills and ability to learn property management software (e.g., Onesite or Entrata) 
  • Valid driver’s license and reliable transportation required 

Schedule & Expectations

  • Ability to work a flexible schedule based on business needs 
  • Consistent attendance is essential to support community operations 
  • May be required to work weekends or additional hours as needed 

Physical Requirements

  • Regularly required to sit, stand, walk and use hands 
  • Occasionally lift up to 20 pounds 
  • Must be able to walk the property, inspect units and move throughout the community as needed 

Work Environment

  • Office and on-site community environment 
  • Regular interaction with residents, vendors and team members 
  • Moderate noise level typical of an office setting
