About the Role:
The Multi-Site Assistant Property Manager supports the day-to-day operations, leasing execution, and administrative functions across a portfolio of multifamily communities.
This role is responsible for ensuring consistent execution of leasing, collections, resident communication, and system accuracy, while supporting site teams and leadership in achieving occupancy, revenue, and operational goals.
The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities across different locations while maintaining a strong customer service mindset.
Key Responsibilities:
Leasing & Lead Management Execution
Support leasing efforts across multiple properties to drive occupancy and revenue
Respond to leads, schedule tours, and follow up with prospects in a timely manner
Ensure consistent execution of lead management and follow-up protocols
Assist with application processing, approvals, and move-in coordination
Maintain accurate and up-to-date availability and pricing in all systems
Resident Accounts & Collections
Assist with rent collection efforts and delinquency follow-up
Maintain accurate and detailed notes in Yardi regarding all collection activity
Support preparation and delivery of notices in accordance with company policy and local regulations
Communicate with residents regarding balances, payment plans, and account status
Administrative & System Management
Maintain accurate resident and property data within Yardi Voyager
Process move-ins, move-outs, renewals, and transfers
Ensure all required documentation is complete, accurate, and properly filed
Assist with reporting, audits, and compliance documentation
Support budget tracking and invoice processing as needed
Customer Service & Resident Experience
Provide professional and responsive communication to residents and prospects
Address resident inquiries, concerns, and service requests promptly
Escalate complex issues to the Senior Multi-Site Property Manager as needed
Support resident retention efforts and renewal outreach
Operational Support
Assist with coordination of unit turns and readiness
Support work order follow-up and communication between residents and maintenance teams
Help ensure properties are clean, presentable, and aligned with company standards
Participate in site visits and operational audits as needed
Marketing & Outreach Support
Assist with updating listings on ILS platforms and marketing channels
Support local outreach efforts, events, and grassroots marketing initiatives
Monitor listing accuracy, photos, and pricing consistency
Team Support & Communication
Act as a support resource for on-site teams across multiple locations
Communicate effectively with leasing, maintenance, and leadership teams
Assist in implementing operational directives and initiatives
Maintain flexibility to support multiple sites based on business needs
Skills & Experience
2+ years of property management or related experience
Experience in leasing, collections, or administrative operations preferred
Proficiency in Yardi Voyager (preferred)
Strong organizational and time management skills
Excellent communication and customer service abilities
Ability to multitask and prioritize across multiple properties
Reliable transportation and willingness to travel between sites
Success Metrics
Timely and consistent follow-up on all leads and resident inquiries
Accurate and compliant Yardi documentation and account management
Improved delinquency performance and collections support
Efficient processing of applications, renewals, and move-ins
Positive resident interactions and service outcomes
Strong support of site teams and operational consistency
