Position Summary

Aeon is seeking an administrative and customer service professional to support the management and leasing operations at The Adams and The Roselle in Downtown Minneapolis.

 

The Assistant Property Manager plays an important role in the daily operations and long-term success of a multi-million-dollar apartment community. Working closely with the Senior Property Manager, this position supports leasing, resident relations, rent collection, financial processes, vendor coordination, and regulatory compliance.

 

This role also collaborates closely with the maintenance team to help ensure the property is well maintained and provides a safe, welcoming environment for residents. The Assistant Property Manager contributes to achieving the properties' operational and financial goals while delivering high-quality customer service to residents.

 

While this position primarily supports The Adams and The Roselle, these properties are part of a larger team that also includes The Elms and The Balmoral. As part of the team, the Assistant Property Manager will offer support to The Elms and The Balmoral on occasion as well. The Assistant Property Manager reports to the Senior Property Manager.

 

Key responsibilities include, but are not limited to:

 

Resident and Property Relations

  • Respond to resident, vendor, and management inquiries in a timely and professional manner.
  • Enter and coordinate maintenance requests.
  • Coordinate vendor and contractor access to the property.
  • Attend community meetings and assist with resident communications as directed.
  • Respond to emergencies and urgent situations as needed.

Office and Administrative Support

  • Provide onsite office support during business hours.
  • Answer phones, manage mail, maintain filing systems, and order supplies.
  • Maintain office equipment and assist residents with general inquiries.
  • Accurately enter applicant and resident information into the property management system.
  • Support day-to-day office organization and operations.

Regulatory Compliance

  • Maintain compliance with HUD, LIHTC, and other affordable housing regulations.
  • Prepare recertification notices and collect required household documentation.
  • Work with Aeon's Compliance team to resolve events of noncompliance.
  • Maintain accurate compliance files and records retention practices.

Financial Operations

  • Support rent collection activities, including receipts, deposits, and delinquency notices.
  • Assist with lease terminations and legal processes as needed.
  • Contribute to operational and financial goals through fiscally responsible decision-making.

Marketing and Leasing

  • Support occupancy and leasing goals through daily leasing activities.
  • Process applications and assist with resident retention efforts.
  • Ensure marketing and leasing practices align with fair housing requirements and organizational standards.

Physical Asset

  • Conduct move-in and move-out inspections.
  • Walk the property regularly to identify maintenance or safety concerns.
  • Support inspection readiness and physical asset preservation efforts.
  • Partner with maintenance staff to maintain high property standards.

 

Skills & Qualifications

This position requires a highly organized, service-oriented professional who can balance administrative responsibilities, regulatory compliance, and resident relations in a fast-paced property management environment. Success in this role requires strong attention to detail, sound judgment, and the ability to build positive relationships with residents, team members, vendors, and community partners. Candidates should be adaptable, collaborative, and committed to supporting diverse communities while contributing to Aeon's mission.

 

Additional qualifications include:

 

  • Previous property management experience or closely related detail-oriented administrative experience required.
  • Experience with affordable housing programs such as Tax Credit and Project-Based Section 8 is a plus.
  • Strong organizational skills with the ability to manage competing priorities.
  • Experience with Yardi, Fortress, or another property management software is a plus.
  • Demonstrated ability to engage in interpersonal communication that is culturally responsive, ensuring consideration for differing needs and expectations.
  • Exceptional customer service skills, with a focus on resident retention and satisfaction.
  • Experience working with individuals experiencing or significantly impacted by mental health challenges, substance use, poverty, long-term homelessness, and trauma is a plus.
  • Ability to manage competing responsibilities, adapt quickly, and work effectively in a fast-paced, high-energy environment.
  • Must be a resourceful, problem solving, relationship-building, seeker of excellence, with a commitment to Aeon's mission.
  • Solid and proven work ethic with the ability to use good judgment, prioritize and execute a wide-ranging workload in a fast-paced environment.

Physical Requirements

  • Ability to remain in stationary position for extended periods while working at a computer and attending meetings.
  • Ability to operate standard office equipment, including computers, phones, and printers.
  • Ability to move about the office to access files, meeting spaces, and office equipment.
  • Ability to reach above and below shoulder height to access file cabinets, storage areas, and office supplies.
  • Ability to lift and carry materials up to 15 pounds on an occasional basis, such as meeting materials or event supplies.
  • Ability to conduct property tours and inspections: Includes walking through hallways, stairwells, leasing offices, common areas, and vacant or occupied apartment homes. This may involve navigating multiple floors and uneven surfaces.
  • Ability to communicate clearly and effectively, both verbally and in writing, in person and through virtual platforms.
  • Ability to work in environments with moderate noise levels, including shared office spaces, meetings, and event settings.

Compensation, Hours & Location

The pay range for this position is $23-$25/hr, depending on experience and skillset. Aeon offers a comprehensive benefits package that includes medical, dental, vision, life insurance, long-term disability, retirement plan, generous paid time off, and an employee assistance program.

This full-time position follows a Monday – Friday schedule from 8:30am to 5:00pm. Flexibility may be required to meet the needs of the role, including occasional adjustments for resident events, community activities, meetings, or other property-related responsibilities. This is an in-person role based at the assigned properties, with occasional work at Aeon's Central Office, training facilities, or other properties as needed.
