Experienced Apartment Community Manager - Senior Potential

The Community Manager plays a critical leadership role in driving the operational and financial success of the community. This position ensures excellence in daily operations, meeting assigned daily, weekly and monthly expectations, including; financial performance, resident satisfaction, and team collaboration while following company policies and all applicable laws. This is more than an administrative role. It is a hands-on leadership opportunity for someone who thrives in a fast-paced environment and wants to grow within property management.

Sales and Leasing

• Greet prospects, qualify needs, and professionally present the community
• Complete guest cards and accurately record all traffic in software systems
• Demonstrate model apartment homes and available units, effectively communicating features and benefits
• Close sales and secure application and deposits in accordance with company policy and Fair Housing regulations
• Process rental applications (credit checks, rental history, approvals) and submit for final approval
• Follow up with applicants regarding their status and maintain strong communication
• Immediately follow up on prospects who did not close and re-engage to secure the lease
• Refer prospects to sister communities when appropriate
• Prepare and proof all leases and ensure accurate lease documentation as well as software sync accuracy
• Understand lease terms and contracted credit report procedures
• Secure resident signatures and complete all required documentation prior to move-in
• Orient new residents to the community

Move in Readiness and Inspections

• Inspect show and ready available apartments daily to ensure readiness
• Communicate service needs to maintenance to ensure homes meet company standards
• Ensure apartment is fully ready for move-in on agreed date
• Process move-ins and move-outs in accordance with company procedures
• Process all final deposit accounting statements
• Accept and route resident service requests to maintenance for prompt completion and ensure details are noted on service requests and priority items are addressed and monitored
• Conduct service follow-up with residents after work is completed

Marketing and Traffic Generation

• Stay informed on market and competitor conditions that may affect occupancy and pricing
• Execute short and long term marketing plans that align with community concession and specials strategies so that traffic remains steady to meet/exceed occupancy expectations
• Create and manage outreach, employer partnerships, and resident referral programs.
• Drive online visibility using property websites, listings, and social media channels.
• Monitor advertising effectiveness and track market competition

Systems, Reporting, and Data Integrity

• Accurately operate property management and accounting software to record and analyze financial data
• Accept rental payments and post rents accurately in the system
• Record monies collected and ensure timely deposits are recorded
• Debit, credit, and reconcile accounts using accounting software and with assistance of CM.
• Review invoices for accuracy, proper coding, and applicable descriptions
• Ensure all invoices entered and approved in a timely manner
• Verify all vendor documentation is complete and compliant prior to submittal
• Access financial information to resolve vendor or payment disputes
• Check figures, postings, and entries for mathematical accuracy
• Maintain accurate monthly commissions, concessions, renewals, and delinquencies
• Update required daily reports (move-outs, activity, traffic, delinquency etc.)
• Prepare deposit statements of accounting notices for past residents
• Organize all documents and leases, maintain accurate financial and communication documentation
• Prepare, review, and assist with month end reporting
• Assist with monthly and quarterly financial review and variance reporting
• Provide accounting support to the Community Manager

Office and Model Presentation

• Maintain professional, welcoming office environment at all times
• Ensure models and tour paths reflect company standards daily
• Represent the company in a professional manner at all times
• Provide general clerical assistance to ensure office efficiency

Renewals and Resident Retention

• Assist in the capture of lease renewals at a 60% retention goal or better
• Distribute and follow up on renewal notices
• Maintain communication with residents to support retention efforts
• Lead delinquency tracking and follow-up processes
• Process move-out notices and update system accordingly

Compliance

• Conduct all business consistent with company policies and applicable laws, including the Fair Housing Act, Americans with Disabilities Act, and Fair Credit Reporting Act.
• Maintain all licenses and certifications required by state and local jurisdictions.

Qualifications

• High school diploma or equivalent.
• 1-2 years as a leasing consultant/assistant manager title.
• Two or more years holding a property manager title for a community at least 200-225 units.
• Proficient in English with demonstration of strong written and verbal communication skills.
• Demonstrated leasing and closing ability with strong organization and follow through.
• Comfortable with telephone systems, Microsoft Office, and property management software.
• Leadership experience and financial acumen
• Able to explain lease terms clearly and sell the community features and services.
• Valid driver’s license. Ability to operate a golf cart on property if required.
• Flexible schedule that may include occasional evenings, weekends as needed.

Physical Requirements

• Stand, walk, and sit for extended periods.
• Bend, stoop, climb ladders, reach, and carry objects.
• Climb up to four flights of stairs and walk several acres to tour the community.
• Work indoors and outdoors in varied weather conditions.
• Push, pull, lift, carry, or maneuver up to 25 pounds independently and up to 50 pounds with assistance.
• Occasional travel to assist other properties, attend training, or business meetings.

Pay: Salary is negotiable but also includes a quarterly bonus potential plus generous monthly bonus structure
