Job Description: U-Square Facilities & Maintenance Manager 

Location: U-Square Mall and Apartments, Mankato MN 56001 

Schedule: Full-time, 50 hours/week (flexibility required for evenings, weekends, and holidays) 

About U-Square: U-Square is a mixed-use community featuring 18 retail/mall tenants and 131 apartment units across 4 buildings. We provide a safe, well-maintained, and welcoming environment for both residential and commercial tenants. 

Position Summary: The Facilities & Maintenance Manager is a hands-on, managerial role responsible for the overall maintenance, safety, and operations of the U-Square property. This position oversees maintenance staff and the houseperson department, ensuring that all systems, repairs, cleaning duties, and budgets are managed efficiently and professionally. The manager’s phone number will be the primary contact for all tenants in emergencies. The ideal candidate is technically skilled, highly reliable, proactive, and capable of handling emergency situations independently. 

Key Responsibilities: 

Maintenance & Technical Duties  
 - Maintain and oversee HVAC systems, including monthly rooftop unit filter changes.  
 - Perform preventative maintenance on all apartment units and building systems.  
 - Perform and oversee repairs on appliances, plumbing, drywall/sheetrock, lighting, and exterior signage.  
 - Maintain parking lots, sidewalks, landscaping, and coordinate snow removal. - Monitor and schedule trash compactors, dumpsters, and recycling pickups.  
 - Ensure property compliance with fire codes, safety regulations, and rental licensing requirements, including scheduling fire code inspections and alarm training. - Perform general housekeeping and janitorial duties as needed.  
 - Respond to maintenance emergencies promptly and effectively, including nights, weekends, and holidays. 

Supervisory & Team Management  
 - Supervise 2  full-time and part-time maintenance staff.  
 - Oversee the houseperson department, including cleaning schedules, approving time-off requests, and ensuring duties are completed daily.  
 - Schedule and approve time off for maintenance staff while ensuring coverage.  
 - Ensure staff are trained, accountable, and performing tasks to property standards. 

Financial & Administrative Duties  
 - Create and maintain the maintenance and houseperson department budget.  
 - Approve and allocate invoices in a timely and accurate manner. - Track and document all maintenance tasks, repairs, and compliance activities.  
 - Assist with inventory management for maintenance supplies and vendor services.  
 - Prioritize tasks effectively, especially during peak turnover periods (July 20–August 20). 

Tenant & Vendor Communication  
 - Serve as the primary point of contact for all 456 tenants for maintenance and emergency issues.  
 - Communicate clearly and professionally with tenants, vendors, and contractors.  
 - Coordinate with vendors to ensure timely completion of repairs and services. 

Emergency & On-Call Responsibilities  
- Be available 24/7 for emergency calls, including fire alarms, water leaks, and other urgent situations.  
- Take immediate action during emergencies, ensuring tenant safety and minimal property damage.  
- Make independent decisions regarding repairs, vendor work, emergency management, and staff supervision. 

Qualifications:  
 - Minimum 5 years of experience in facilities management, maintenance, or a related field, preferably in mixed-use residential and retail properties.  
 - Experience supervising small teams and coordinating with external vendors. - Strong technical skills in HVAC, appliance repair, plumbing, drywall/sheetrock, lighting, and exterior signage maintenance.  
 - Knowledge of fire codes, safety regulations, rental licensing compliance, and preventative maintenance programs. 
 - Experience managing departmental budgets, approving invoices, and handling staff scheduling/time-off requests.  
 - Proven ability to work independently, take initiative, and solve problems efficiently. - Excellent communication skills and comfort interacting directly with tenants and vendors. - Ability to work 50+ hours per week, including evenings, weekends, and holidays.  
 - Comfortable having a direct phone line posted for tenants and being the first responder for emergencies. 

Physical Requirements:  
 - Ability to perform hands-on maintenance tasks, including lifting, climbing ladders, and manual labor.  
 - Ability to respond quickly to emergency situations across multiple buildings.
