About the Role
Job DetailsJob Location: Cortland - Highland Park, MI 48203Salary Range: $65,000.00 - $75,000.00 SalaryJob Category: FacilitiesScope: Responsible for establishing and managing ongoing Facility-related Contracts and Services at various agency locations.
Essential Functions
• Ensure all agency, program specific and maintenance service related safety protocols are upheld in the performance of duties.
• Establish, monitor and maintain Facility service contracts (janitorial, fire, burglar alarm, consumables, pest control, lawn/snow, mat, waste management, etc.,).
• Monitor vendor billing and follow accounting compliance protocol
• Supervise Administrative Coordinator
• Maintain database of facility services, vendors and contracts
• Manage the relocation of building staff & services for renovation/repair work on new and existing agency facilities. This includes contracting services, quality control and communication to management.
• Provide support to various program departments to ensure that the facilities services meet all applicable federal, state and local licensing and/or program requirements as appropriate.
• Complete assigned facility related projects for various programs.
• Assist with the management of contracted services in the performance of construction projects. This includes but is not limited to; ensuring contractors are licensed, insured and granted appropriate access to complete work; maintaining quality control; and issuing final approval to department leadership when work is completed. If necessary, recommend and carry out the termination or remediation of projects if contractor or service does not meet specifications.
• Ensure that the agency’s leased space services are up-to-date, clear and requests for services are handled in a timely manner.
• Monitor lease tracker to ensure appropriate departments are notified when lease changes or expirations are due.
• Input purchase requisitions into accounting system.
• Obtain bids per Accounting Manual for services and/or projects
• Work collaboratively with Facility Maintenance Manager on shared projects
• Maintain a positive attitude towards assigned work, clients, and staff, and a willingness to work with others.
• Perform work in a professional manner that upholds Wayne Metro’s policies and procedures.
• Other duties as assigned.
Physical Requirements and Work Environment
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work is performed inside and/or outside an office. The employee is frequently required to climb, bend, lift, stoop, kneel, crouch, crawl and walk. Work exposed to a variety of weather conditions and outdoor elements.
QualificationsMinimum Qualifications:
• Intermediate knowledge of internet applications and programs including Google technology, AI and Microsoft Office Suite. The ability to learn and utilize the necessary programs for this position.
• Ability to maintain documentation of work including file maintenance and report development.
• Bachelor’s degree OR a minimum of six years of experience in a related field OR a combination of education and experience that is similarly equivalent.
Minimum Competencies:
• Knowledge of federal, local building regulations and construction trades and state licensing requirements or the ability to access them.
• Ability to effectively provide direction to assigned independent contractors.
• Knowledge of basic carpentry, building structure, plumbing, electrical and HVAC is preferred.
• Good interpersonal and professional skills including but not limited to professional appearance, tact, punctuality and dependability.
• Ability to work with minimum supervision.
• Ability to communicate effectively both orally and in written form.
• Ability to work independently or in a team environment (as deemed necessary).
• Perform work in a manner that upholds Wayne Metro policies and procedures.
Licensing and Other Requirements:
• Valid driver’s license and reliable transportation.
Travel Requirements:
• Ability to travel to various sites.
Work Hours: Work to be scheduled Monday through Friday with specific hours to be determined by program needs.
