Job Summary

Vision on Lombard is seeking an energetic, polished, and service-oriented Leasing Manager to lead the community’s leasing operations and resident experience. This position oversees the leasing team, drives occupancy and renewal activity, ensures accurate and timely processing of applications and leases, and maintains an exceptional standard of hospitality throughout the community.


The ideal candidate is a hands-on leader who combines strong sales ability with genuine hospitality. This individual should be highly organized, attentive to detail, and comfortable holding the leasing team accountable in a fast-paced, customer-focused environment.


Responsibilities

Leasing Team Leadership

  • Supervise, train, and support Leasing Agents while ensuring consistent performance, professionalism, and compliance with community standards.
  • Monitor daily leasing activity, follow-up efforts, lead management, applications, move-ins, move-outs, and renewals.
  • Ensure CRM queues are cleared and all guest traffic is entered accurately by 5:00 p.m. each day.
  • Assign prospective residents to available apartment homes before beginning the application-screening process.
  • Confirm that leasing files, documentation, and other required records are completed and filed daily.
  • Maintain current knowledge of community availability, pricing, promotions, policies, and leasing procedures.

Leasing, Applications, Lease Administration

  • Guide prospective residents through tours, applications, screening, approval, and lease execution.
  • Collect applicable application fees before screening and ensure the same fee structure is applied consistently to all applicants.
  • Process applications through the CRM and ResidentScreen service.
  • Ensure applications are reviewed and processed within 48 hours whenever possible.
  • Verify that all required screening, identity, income, rental-history, and supporting documentation is complete before an application is approved.
  • Obtain appropriate management approval before approving applicants in Yardi.
  • Ensure leases are executed in Yardi only after the applicant has signed all required lease documents.
  • Review the property dashboard daily and maintain accurate application, move-in, move-out, and leasing statuses.
  • Maintain accurate resident phone numbers, email addresses, and other required information in Yardi, RentCafe Site Manager, and CRM.
  • Maintain working knowledge of Yardi, RentCafe, LRO, Rippling, CRM, ResidentScreen, and other property-management systems.

Renewals and Resident Retention

  • Prepare and distribute monthly renewal proposals and ensure renewal notices are sent consistently throughout the week.
  • Monitor upcoming lease expirations and proactively follow up with residents regarding renewal decisions.
  • Plan and host at least one resident-retention or renewal event each month.
  • Create and distribute a monthly community newsletter.
  • Build strong resident relationships and encourage satisfied residents to share feedback on Google, ApartmentRatings.com, the community website, and other approved platforms.
  • Take photos at community events and coordinate approved social media content.

Hospitality and Community Presentation

  • Ensure every guest and resident is greeted promptly and receives a warm, polished, and professional experience.
  • Maintain a clean, welcoming, and tour-ready leasing office, model apartments, mini-models, amenities, and golf carts.
  • Ensure refreshments, snacks, flowers, welcome materials, and other hospitality supplies are stocked and presented appropriately.
  • Maintain at least 30 completed move-in welcome kits at all times.
  • Ensure tour carts are clean, properly maintained, and stocked with necessary cleaning products and resident refreshments.
  • Establish mini-models for each available floor plan whenever possible.
  • Walk all ready units as they are completed to confirm they meet presentation and move-in standards.
  • Participate in routine property inspections, including complete community walks.

Marketing and Outreach

  • Complete leasing and community marketing activities at least twice per week.
  • Post availability, promotions, or other approved content to ROOOF three times per day, as required.
  • Maintain accurate and appealing online listings and community information.
  • Monitor lead sources and leasing results to identify opportunities to improve traffic, conversion, occupancy, and resident retention.

Work Orders and Resident Follow-Up

  • Review work orders each morning and afternoon and ensure they are entered into Yardi promptly.
  • Update work-order statuses by the end of each day and monitor completion within the community’s established service standards.
  • Contact residents when work is completed and conduct follow-up calls to confirm satisfaction.
  • Use applicable work-order subcategories, including “Move-In” and “Repeat,” to support accurate tracking and reporting.
  • Escalate unresolved, repeated, or urgent maintenance concerns to the appropriate team member.

Resident Transfers

  • Coordinate resident transfers in accordance with property-specific policies and applicable transfer fees.
  • Ensure applicable cleaning, carpet, administrative, and move-out charges are assessed consistently.
  • Accurately complete the Unit Transfer function in Yardi so resident balances and deposits transfer to the new apartment after deposit accounting is finalized.
  • Confirm that leasing commissions or bonuses associated with transfers are documented and assigned according to company policy.

Operational Compliance

  • Maintain accurate dashboards, reports, leasing files, resident records, and system data.
  • Ensure the leasing team follows company policies, screening requirements, Fair Housing laws, and all other applicable regulations.
  • Handle resident and applicant information with discretion and maintain appropriate confidentiality.
  • Partner with property management, maintenance, and regional leadership to support occupancy, resident satisfaction, and overall property performance.
  • Perform other leasing, administrative, and property-related responsibilities as assigned.

Qualifications

  • 3+ years of leasing, sales, hospitality, or customer-service experience preferred.
  • Multifamily or luxury residential leasing experience strongly preferred.
  • Strong sales instincts and ability to build rapport and close effectively.
  • Warm, polished, and professional communication style.
  • Highly responsive, organized, and comfortable managing multiple priorities.
  • Experience with Yardi and Microsoft Office preferred.
  • Working knowledge of Fair Housing requirements.
  • High school diploma required; college degree preferred.
  • Flexibility to work weekends and other days/times based on leasing needs.
