Job Summary:
In conjunction with and in support of the regional property management team overseeing the policies and procedures, PM and safety programs. Optimize property-level efficiency while reducing overall spending across all MAXX Properties portfolios. This position will be independently responsible for maintenance-related matters, supplemental training as needed, and support for field personnel.
Job Responsibilities:
- Develop, maintain, and ensure consistent adoption of and adherence to maintenance operational policies and procedures at the site level through site visits and inspections, facilitating maintenance meetings and training opportunities, and communication with regional and senior management.
- Ensures quality control and maintenance standards at the site level through site visits and inspections, facilitating maintenance meetings, identifying new training opportunities, implementing and tracking maintenance programs, and communicating with appropriate parties.
- Reviews all maintenance metrics (open work orders, turn times, etc.) and works with regional management to ensure accountability and to identify additional support needed on a case-by-case basis. Identifies the most cost-effective way to correct issues when identified.
- Achieve a 2% to 5% reduction in total maintenance expenditures across all asset categories during the initial 12 months of role execution, by optimizing operational processes, strategic sourcing, improving vendor efficiency, and enhancing preventive practices, while maintaining resident satisfaction and asset quality that supports NOI growth and long-term asset value.
- Audit execution of policies such as inspection logs, shop inventory, ordering of supplies, make-ready process, scheduling of vendor and technician duties, service request procedures, and preventative maintenance inspections and tasks.
- Ensure safe work environments and work procedures at on-site locations by performing regular safety inspections and safety-related training, monitoring & investigating injury-related insurance claims.
- Identifies specific maintenance training needs across the portfolio and at the individual asset level. Align with the Maintenance Trainer to coordinate maintenance-related skills training via internet-based programs, vendor-sponsored “hands-on” training events, and trade association classes and certifications.
- Respond to property maintenance-related emergencies and risk-related situations, coordinate repairs, and keep regional management informed and updated.
- Responsible for managing smaller capital projects under $10k or as assigned by the VP of Capex and Facilities. Also responsible for all recurring capital projects such as roof leaks and even possibly some unit renovations; Project Managers can assist if needed.
- Assist Project Managers at times with capital jobs at various properties depending on workload.
- Capital budgets and backup to Project Managers when on vacation or out of town. Conduct quarterly meetings with Project Managers and MS to discuss any issues that need attention.
- Support Community Managers and Maintenance Supervisors in troubleshooting operational repairs and coordinating vendor bids and proposals as needed.
- Assist Project Managers in the coordination of vendor procurement projects as well as vendor quality of work, pricing, and response times.
- Develop, maintain, and oversee maintenance personnel’s adherence to protocols and procedures dealing with mold, asbestos, lead-based paint, and other hazardous chemicals and assist in identifying and troubleshooting related repairs.
- Support community managers on annual budget planning as it relates to maintenance expenses and pricing ensuring best pricing available.
- Provide leadership for all aspects of facility management for on-site maintenance employees as needed.
- Assist in development and support of a maintenance focus group, attending meetings and implementation of approved recommendations.
- Assist in performing due diligence activities on potential management acquisitions including unit inspections, in interview process for maintenance supervisor/ maintenance team, vendor inspections, energy benchmarking, etc.
Skills and Qualifications:
- 5+ years of facilities, construction, or property management experience required; multi-site or multifamily experience preferred
- Strong organizational, project management, and prioritization skills
- Demonstrated knowledge of facilities operations, compliance, construction, and vendor management
- Strong written and verbal communication skills, including presentations, training facilitation, and cross-functional collaboration
- Ability to analyze bids, reports, operational issues, and vendor performance to support sound decision-making
- Proven ability to manage resident, vendor, and employee concerns professionally and effectively
- Proficiency with property management systems such as Yardi and Microsoft Office Suite, including Excel
- Self-directed with the ability to manage responsibilities across multiple locations and changing priorities

- Ability to regularly walk properties, climb stairs, inspect facilities, and occasionally lift or move materials and equipment
- Position requires work in indoor and outdoor environments, including exposure to varying weather conditions and active construction or maintenance areas
- Reliable transportation and regular travel between properties required
