We are looking for someone to help assist our Property Manager with a variety of tasks about 2 days per week.
Position Summary:
The Property Management Assistant provides administrative and operational support to the Property Manager in the management of residential and commercial rental properties. This position assists with tenant relations, leasing activities, financial processing, property turnover coordination, and general office administration to help ensure efficient operations and exceptional customer service. The ideal candidate is organized, detail-oriented, professional, and able to manage multiple priorities in a fast-paced environment.
Bilingual (English/Spanish) candidates are preferred.
Qualifications
and Skills
- High school diploma or equivalent required; Associate degree in Business, Real Estate, or related field preferred.
- Previous experience in property management, real estate, customer service, bookkeeping, or office administration preferred.
- Bilingual in English and Spanish preferred.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and property management software.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and professionalism.
- Valid driver's license and acceptable driving record.
- Ability to pass a background check.

Role and Responsibilities
Tenant & Leasing Support
- Show available rental units to prospective tenants.
- Respond to tenant inquiries and provide exceptional customer service.
- Assist with lease administration, move-ins, and move-outs.
- Prepare and post tenant notices as directed by the Property Manager.
- Coordinate tenant communications regarding property-related matters.
Property Turnover & Marketing
- Schedule and coordinate unit turnovers between tenants.
- Coordinate cleaning, maintenance, and repairs to prepare units for occupancy.
- Assist with marketing vacant properties through online listings and other advertising methods.
- Ensure vacant units are ready for showings and new tenants.
Financial & Administrative Support
- Input invoices and expenses into company systems.
- Process and pay approved bills accurately and in a timely manner.
- Prepare and make bank deposits.
- Assist with rent collection and payment processing.
- Maintain accurate financial and tenant records.
- Support basic bookkeeping and administrative functions.
Records Management
- Scan, organize, and maintain electronic records and digital filing systems.
- Maintain tenant files, lease documents, vendor records, property records, and other required documentation.
- Ensure records are complete, organized, and compliant with company procedures.
Maintenance Coordination
- Receive maintenance requests from tenants.
- Schedule and coordinate maintenance services with vendors and contractors.
- Follow up to ensure work is completed satisfactorily.
- Maintain records of maintenance activities and service requests.
General Office Support
- Answer phones, greet visitors, and assist customers professionally.
- Prepare correspondence, notices, reports, and other documents.
- Assist with special projects and other duties as assigned.
- Support the Property Manager in day-to-day operations.
Physical Requirements
- Ability to sit, stand, walk, and drive between properties as needed.
- Ability to occasionally lift and carry up to 25 pounds.
- Ability to conduct property inspections and showings.
