Assistant Property Manager- New Jersey

The Assistant Property Manager supports the property management team in successfully maintaining our portfolio of commercial real estate properties. This individual is involved in coordinating all aspects of day-to-day operations including AP, tenant and vendor relations, contract management, sustainability initiatives, insurance tracking, coordination of repairs and maintenance and general administrative duties. The Assistant Property Manager handles tenant requests and must be familiar with the landlord/tenant responsibility terms of each tenant lease. This is a full-time, salaried position
Essential Job Responsibilities:
- Provide excellent tenant and client service; respond to all requests in a timely and courteous manner and always follow up to ensure satisfactory resolution of any issues
- Prepare and maintain property and tenant lease files, records, correspondence and notes
- Assist with administering tenant occupancy including move-ins/outs, insurance requirements, rent collection, and maintenance request procedures
- Support the property/facility managers with the establishment of a property management plan, preventative maintenance policies and procedures, work order log/tracking and property operations manual
- Assist as needed in the application process of all real estate tax appeals
- Coordinate and schedule inspection/appraisals as needed
- Conduct periodic inspections of the properties to ensure proper upkeep
- Obtain bids for property repairs and maintenance where applicable, and prepare bid analysis/leveling; work with facility managers to coordinate vendor scheduling and inform tenants
- Prepare contracts and expense reports
- Become proficient with the different charts of accounts to verify all property-related invoices/ensure compliance
- Assist property managers in the preparation of annual budgets and quarterly reforecasts, to include information gathering/running GL’s, etc.
- Draft accruals/reclasses and monthly financial reports (including budget variance explanations) for property manager review
- Maintain account files and perform other administrative duties as assigned

Qualifications
- Bachelor’s Degree from a four-year college or university, with three to five years of industry experience or an equivalent combination of education and experience.
- Relevant commercial real estate management experience, preferably with experience in industrial real estate management.
- Understanding of real estate fundamentals and basic terminology
- Strong working knowledge of Microsoft Office Suite; experience with Yardi, Jones Insurance Compliance, Fyxt, and Predict AP a plus; training will be provided.
- Knowledge of construction processes and ability to understand construction drawings is helpful
- Detail-oriented nature is critical to be successful in this role
