Within the spirit of “Making People’s Dreams Come True”, this position is responsible for overseeing the day-to-day operations, financial performance, and strategic management of a diverse portfolio of commercial properties. This role requires a strong blend of business acumen, exceptional communication skills, and a comprehensive understanding of property management principles. Overall, this role plays a pivotal role in delivering a superior standard of service and maintaining the highest levels of satisfaction for all stakeholders involved. These duties are accomplished while delivering Raving Fans customer service to both internal and external customers.

Responsibilities:

  • Act as the primary point of contact and the key decision-maker for the assigned property portfolio.
  • Approve maintenance programs developed by Facilities Managers to ensure properties are well-maintained and comply with safety and design standards.
  • Collaborate with stakeholders to align property management goals with broader organizational objectives.
  • Conduct regular property inspections and coordinate necessary repairs and renovations.
  • Coordinate and respond to tenant requests and inquiries promptly and professionally.
  • Coordinate and supervise property improvement projects and renovations, including property revitalization projects.
  • Coordinate and manage marketing plans tailored to attract and retain tenants, aligning marketing initiatives with the overall property management objectives.
  • Coordinate and manage tenant engagement initiatives, fostering a sense of community and belonging within the properties, thereby promoting tenant retention and satisfaction.
  • Develop and execute property-specific strategies to optimize asset performance and value.
  • Develop and implement emergency preparedness plans and procedures.
  • Develop and manage property budgets, ensuring effective cost control and maximizing revenue generation.
  • Ensure compliance with lease terms and conditions and enforce lease provisions when necessary.
  • Ensure properties adhere to legal, regulatory, insurance and design requirements.
  • Foster positive tenant (hometown business partner) relationships by addressing concerns, resolving issues, and maintaining open communication channels.
  • Maintain accurate property records, including leases, contracts, and maintenance logs.
  • Manage lease agreements, including negotiations, renewals, and terminations.
  • Manage property operations, including security, utilities, and facility services.
  • Monitor and analyze financial performance, prepare regular financial reports, and make strategic recommendations to improve profitability.
  • Oversee rent collection, financial transactions, and invoicing processes.
  • Oversee tenant onboarding, including the leasing process, move-ins, and orientations.
  • All other duties as assigned.

Education & Experience Requirements:

  • Associate degree in real estate, Real Estate Management, Business Administration, or Property Management preferred.
  • Florida Real Estate license preferred.
  • BOMI, ICSC, IREM, CCIM or other equivalent certifications preferred.
  • Minimum of one (1) to five (5) years related experience and/or training; or equivalent combination of education and experience required.
  • Must possess working knowledge of commercial building systems, including but not limited to HVAC, plumbing, electrical, and life safety.
  • Experience with Property Management Software is preferred.
  • Knowledge of Microsoft Office software including Word, Excel, and Outlook.
  • Knowledge of office equipment such as printers, copiers, scanners, etc.
  • Excellent written and oral communications skills.
  • Time management skills and ability to manage multiple priorities.
  • Problem solving skills and detail oriented.
  • Participation in On-Call Rotations schedule for after-hours and weekend response to CPM-wide facility, tenant, and residential maintenance issues.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.  English is required for oral and written communications.
  • This position is subjected to The Villages Vehicle Safety Program and its policies as it requires the use of personal vehicles for company business.
  • A Valid Driver's License with a record acceptable to company standards is required for this position.
