The Property Manager is responsible for the day-to-day operations of an assigned portfolio of industrial properties in the Puget Sound region. This role leads a property team, administers lease agreements, prepares property budgets, financial reports, CAM reconciliations/estimates, coordinates tenant improvements and capital improvement projects, and serves as the primary contact for tenants. The Property Manager ensures that each property operates efficiently and in accordance with company standards and ownership objectives.
ESSENTIAL FUNCTIONS:
Team Leadership
- Manage and lead a property team, including Maintenance Technician(s) and Property Administrator(s), ensuring internal tasks and projects are completed accurately and on schedule. Provide ongoing coaching, guidance, and leadership to support team performance and achieve company objectives.
Property Operations and Maintenance
- Develop and maintain an in-depth working knowledge of the assigned properties, including the property’s physical, mechanical, and structural condition. Inspect the properties on a periodic basis for maintenance needs, addressing deferred maintenance, and tenant lease compliance.
- Respond promptly to all property emergencies and concerns that are dispatched during or after business hours. Coordinate with property maintenance staff, tenants, and vendors, which may include on-site property visits after business hours, as required.
- Oversee preventive maintenance programs for building systems and site improvements, including roofs, HVAC, fire sprinkler and life safety systems, storm drains, asphalt, etc.
- Monitor property-level regulatory compliance as applicable, including fire and life safety inspections, stormwater facility maintenance, and energy benchmarking and building performance reporting.
- Maintain and safeguard all property keys and control lock distribution to tenant units.
Financial Management
- Prepare annual budgets, annual CAM estimates, CAM reconciliation adjustments, and periodic property reports for the assigned property portfolio.
- Review operating statements, budget variances, and aged receivables monthly and resolve discrepancies, as required.
- Review and approve accounts payable invoices on a weekly basis for accuracy and general ledger coding. Correct as required.
Tenant Relations and Lease Administration
- Administer tenant and landlord compliance with the terms of the lease and enforce tenant lease defaults in accordance with lease terms, company policies, procedures, and established timelines.
- Respond to and resolve tenant questions and concerns in a timely and professional manner and prepare tenant correspondence and property notices.
- Conduct move-in and move-out unit inspections with tenants. Ensure accurate new tenant setup and complete related paperwork for security deposit refunds or closing out a tenant account on a timely basis. Coordinate preparation of vacant spaces for unit turnover (e.g., janitorial cleaning, general repairs, painting, carpet replacement, and gas/electric utility changeovers).
- Track lease expirations, critical dates, pending transactions, and items requiring follow-up. Utilize company procedures and tracking methods to meet internal audit requirements.
- Support leasing and renewal efforts by providing property information, tenant history, and space condition to the leasing team and brokers.
Vendors and Capital Projects
- Contract with vendors for property operations and maintenance (e.g., landscaping, HVAC, parking lot sweeping, storm drain cleaning, electrical repairs, and plumbing). Follow appropriate bid processes, review and analyze proposals, and award contracts utilizing proper in-house signing authority procedures.
- Manage capital and tenant improvement projects from bid through closeout: obtain estimates and prepare appropriate spending approval forms for signature by supervisor prior to awarding the work; prepare contracts for signature; provide project management and general contractor oversight; and obtain labor and material lien releases, warranty paperwork and certificates of insurance from contractors.
Risk Management and Records
- Track and maintain certificates of insurance for all tenants, vendors, and contractors.
- Investigate accidents, property incidents, vandalism, and property damage, as required. Prepare and submit incident reports to in-house Risk Management and supervisor, and discuss insurance concerns with the appropriate Risk Management personnel. Authorize repairs and coordinate vendors, as necessary.
- Maintain organized tenant, vendor, and property files. Follow up in writing, with a copy of the correspondence saved to the tenant electronic lease file or vendor electronic file.
EXPERIENCE, SKILLS, AND QUALIFICATIONS:
- 3+ years of commercial property management experience; industrial experience strongly preferred.
- Demonstrated experience with property maintenance, vendor management, capital and tenant improvement projects, and lease administration and enforcement.
- Working knowledge of commercial lease structures (NNN, modified gross, and gross), CAM reconciliation, and property-level accounting.
- Dependable and cooperative, with strong interpersonal skills and a positive, team-oriented approach.
- Strong ability to read, interpret, and apply lease provisions.
- Proficient computer skills, including Microsoft Office (particularly Excel) and property management software (Yardi experience strongly preferred).
- Strong written and verbal communication skills, with a customer-service orientation toward tenants.
- Organized and detail-oriented, with the ability to manage multiple priorities and deadlines.
EDUCATION:
- Bachelor’s degree in business, real estate, or a related field – preferred
LICENSES AND CERTIFICATIONS:
- Valid driver’s license – required
- CPM or RPA designation – preferred
TRAVEL REQUIREMENTS:
Regular local travel to assigned properties, including after-hours emergency response – required
