Assistant Property Manager – Association/HOA Management
Overview
P&H Investment is seeking a highly organized, customer-focused Assistant Property Manager to support the management of a portfolio of condominium and homeowner associations. This role works closely with other Property Managers to ensure smooth day-to-day operations, provide exceptional service to Association Boards and owners, coordinate maintenance activities, and assist with administrative and financial tasks. Key Responsibilities
· Assist the Property Managers in the daily management of assigned condominium and homeowner associations.
· Serve as a secondary point of contact for Board members, homeowners, residents, and vendors.
· Help prepare board meeting agendas, meeting packets, minutes, and follow-up documentation.
· Respond promptly and professionally to owner inquiries and service requests.
· Assist with owner communications, including notices, newsletters, community updates, and violation correspondence.
· Conduct routine property inspections with Property Managers to identify maintenance needs and ensure community standards are maintained.
· Create, track, and update work orders through completion using AppFolio.
· Assist with the coordination of maintenance staff and vendors to schedule repairs, inspections, and preventative maintenance.
· Maintain accurate records of maintenance activities, vendor information, and community documentation.
· Assist with invoice processing, bid collection, and financial recordkeeping.
· Support annual budget preparation, reserve study coordination, and financial reporting as assigned.
· Monitor compliance with governing documents, community rules, and vendor contracts, reporting concerns to Property Managers.
· Utilize AppFolio and Microsoft Office to maintain records, communicate with residents, and generate reports.
· Contribute ideas for improving operational efficiency and resident satisfaction.
· Maintain a valid driver's license and travel to assigned communities as needed.
· Regular, in-person attendance is required due to the collaborative and customer-facing nature of this position.
· Perform other related duties as assigned.

Qualifications
· Associate's or Bachelor's degree in Business, Property Management, Construction Management, Project Management, or a related field preferred.
· One to three years of experience in property management, HOA/community association management, customer service, administrative support, or a related field preferred.
· Experience with HOA/association management is a plus but not required.
Working Conditions
- Full-time position with occasional evening or weekend work to assist with board meetings, community events, or emergency situations.
