The Opportunity
The Assistant Property Manager provides day-to-day operations management for the commercial and retail components of Atlantic Station while maintaining professional, courteous, and highly responsive relationships with ownership representatives, tenants, vendors, contractors, and internal team members. What You’ll Do
1. Operations & Tenant Coordination
- Day-to-Day Management: Handle routine management functions, serving as a key point of contact for daily correspondence with owners, tenants, contractors, and vendors.
- Tenant Onboarding & Relations: Support the tenant coordination process to remove property-level obstacles. Coordinate new tenant move-ins, send and track all tenant open/close notices, and quickly resolve property maintenance requests.
- Site Inspections: Perform daily physical inspections of the property to ensure first-class upkeep and presentation.
2. Financial Management & Lease Administration
- Budgeting & Forecasting: Assist with the annual budget, CAM/Tax reconciliations, monthly financial reporting, and quarterly forecasting in alignment with Property Management Agreements.
- Expense Control: Lead the property invoice workflow, including accurate coding, review, approval, and general expense control.
- Lease Oversight: Maintain a thorough understanding of lease clauses, management agreements, and specialty leasing terms. Distribute rent commencement letters, monitor tenant obligations, and address lease violations.
- Collections & Sales Tracking: Assist with the collection of outstanding balances from tenants and vendors. Collect and review tenant sales reports, identifying and communicating performance trends to ownership and leasing agents.
3. Contracts, Compliance & Team Support
- Vendor Management: Coordinate the service contract bidding summary process for renewals, obtain proper signatures, and manage files. Collect and track all required tenant and vendor insurance certificates.
- Cross-Functional Collaboration: Partner with permanent and specialty leasing teams regarding expansion opportunities, expirations, watchlist items, and lease extensions. Assist the District/Master Owners Association manager as needed.
- Reporting & Legal Support: Assist in preparing required property reports and compiling data for legal requests and operational issues.
Requirements
What You Bring to the Table
Experience & Education
- Proven Tenure: 1–3 years of dedicated Assistant Property Management experience.
- Academic Background: High School Diploma, GED, Technical, or Vocational school required; Bachelor’s Degree is preferred.
Skills & Competencies
- Technical & Administrative: Computer literate with strong proficiency in the Microsoft Office Suite, internet navigation, basic bookkeeping, and general office administrative skills.
- Communication: Exceptional oral and written communication skills paired with strong customer service acumen.
- Execution: Demonstrated ability to meet strict management and ownership deadlines, working diligently to prioritize and complete tasks on time.
Physical Demands & Work Environment
- Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.
- Stamina & Agility: Ability to navigate properties, travel from floor to floor, climb stairs, and remain in a stationary position (sitting or standing) for up to 85% of the time. Must be able to exert up to 25 pounds of force occasionally to lift, carry, push, or move objects.
- Travel: Ability to travel up to 15% of the time depending on property needs.
