The Assistant Property Manager supports the Property Manager in the daily operations and administration of a condominium association. This role provides exceptional customer service to residents, coordinates with vendors and contractors, assists with financial and administrative functions, and helps ensure the community is maintained in accordance with the Association's governing documents and policies.
Essential Duties & Responsibilities:
- Assist the Property Manager with the day-to-day operations of the condominium community.
- Provide outstanding customer service by responding to homeowner inquiries, concerns, and requests in a professional and timely manner.
- Answer phones, greet residents and visitors, and manage front office operations.
- Prepare and distribute correspondence, notices, meeting agendas, minutes, newsletters, and community communications.
- Coordinate and track homeowner work orders and ensure timely completion.
- Assist with scheduling and supervising vendors, contractors, and maintenance personnel.
- Conduct routine property inspections and report maintenance, safety, or compliance issues.
- Monitor common areas to ensure cleanliness, safety, and proper maintenance.
- Assist with architectural review applications (ARC/ACC) and maintain accurate records.
- Maintain homeowner files, contracts, insurance certificates, vendor records, and other association documents.
- Assist with preparing Board meeting packets and attend Board meetings as needed.
- Coordinate move-ins, move-outs, elevator reservations, and amenity reservations when applicable.
- Process invoices, code expenses, and assist with accounts payable and accounts receivable.
- Monitor delinquent accounts and assist with collection processes in accordance with Association policies.
- Support budget preparation and reserve projects as directed by the Property Manager.
- Ensure compliance with Association governing documents, rules, and Florida statutes.
- Assist with emergency response procedures, storm preparation, and after-hours emergencies when required.
- Perform additional administrative and operational duties as assigned.
Full-Time Mon-Fri 8:30am-4:30pm
Pay Rate: $25-$30 DOE
