We are currently searching for a Facilities Manager to support six (6) locations covering Southern & Northern California, Hawaii, and Oregon. The Facilities Manager is a newly created position and will be located on-site at our Long Beach headquarters.
The Facilities Manager will oversee all ILWU Credit Union properties, facilities, office service operations and maintenance. This position will work closely with Senior Management, vendors, contractors, and government agencies on projects that involve the placement, expansion, renovation, or closure of Credit Union facilities, and will ensure all locations operate effectively and efficiently through effective planning, scheduling, and oversite of all building maintenance.
Primary Accountabilities include but are not limited to the following:
Assist in the development of capital budgets for the property. This includes contributions towards a five-year plan of maintenance, facility improvement, and cost reduction initiatives
Collect, analyze, and report statistical data as may be required to provide accurate and current assessment of facility management objectives
Hire, train, supervise, and motivate facility personnel
Maintain positive staff relations at all levels
Manage contracts and all requirements contained therein
Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims, as required
Reinforce the application of superior customer service through example along with appropriate follow-through with involved customers, vendors, contractors and employees; conduct specific periodic meetings and presentations on this topic with all staff members
Prepare and review written proposals, assess needs, and recommend effective strategies; perform cost estimates and space allocation analysis; negotiate pricing to optimize return on investment
Work closely with Senior Management, vendors, contractors and government agencies regarding the placement, expansion renovation or closure of Bank facilities; assesses needs and recommends effective strategies;
Conducts duties as the Bank’s in-house general contractor; performs site surveys, cost estimates and space allocation analysis; assists in the pricing negotiations to optimize return on investment
Maintain working relationships with vendors, contractors and service providers in accordance with the Bank’s Vendor Management Policy; conducts due diligence, develops request for proposals and negotiates and reviews purchase, maintenance, contracts and agreements or modifications
Correspond with the Bank’s legal counsel to ensure the best interests of the Bank are protected
Develop schedules for the delivery of services, supplies, and equipment to maintain proper inventory levels; monitors servicing and lease agreements; reviews invoices to validate contractual obligations; ensures quality, maintenance and performance standards are maintained.
Oversee the daily operations of all Facilities Department functions; take ownership and ensure timely response and resolution of related issues; ensure activities run smoothly and efficiently
Responsible for the administration and use of the Credit Union’s service call system; maintains knowledge of internal and external resources to mitigate disruption of service to customers and staff; develops and maintains appropriate escalation procedures and contingency plans; communicates recurring or serious issues to Senior Management
Work with Human Resources to schedule ergonomic assessments; ensure recommendations are implemented and products installed
Analyze and recommend purchasing sources, controls prices and quality for all equipment, services, and supplies; maintains contact with suppliers for information affecting prices, availability, and delivery; locates and investigates potential and contingent supply sources
Correspond with related city, county, state, and federal government agencies to ensure Bank facilities are constructed and maintained in accordance with applicable building codes, laws, and environmental concerns; responds to agency inquiries or concerns to ensure compliance
Coordinate and conduct site and safety inspections with the Bank Security and Safety Officer to ensure facilities are operated in a safe manner; assist in the identification and correction of potential fire or safety hazards; diagnose problems in facilities and systems and engages with appropriate party for resolution
Oversee all aspects of facility, property and administrative maintenance and services, including related purchasing activities, furniture and equipment, landscaping, janitorial and cleaning services, vending services, office moves and employee relocations
Manage the origination and oversight of service schedules and work orders of outside contractors, services and vendors;
Ensure security and safety issues are properly addressed
Maintain accurate service records and the documented receipt and storage of office equipment, materials and supplies
Other duties as assigned
QualificationsRequired Qualifications
High school diploma or equivalent work-related experience in facilities, purchasing, or construction management administration with a supervisory background.
Five (5) or more years of progressive experience in facilities, property, construction, or building operations management.
Experience in cost analysis, budgeting, and financial oversight.
Knowledge of city, county, state, and federal building codes, safety laws, and environmental regulations.
Knowledge of preventative and reactive safety systems (fire alarms, extinguishers, safety inspections, etc.).
Experience interacting with government agencies and regulatory authorities.
Intermediate proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and facilities management software.
Strong mathematical and analytical skills, including budgeting and cost estimation.
Exceptional verbal, written, and interpersonal communication skills.
Ability to work independently with minimal supervision.
Ability and willingness to travel approximately 20% of the time.
Valid driver’s license and insurable driving record if required for assigned duties.
