Overview:

The Property Management Support Representative must be able to work within various computer systems and platforms, manage multiple priorities, and effectively organize a high-volume workload. Each representative is assigned a region and is responsible for supporting that territory by working closely with mechanics, property managers, vendors, landlords, and other team members. General accounting knowledge is helpful for reviewing, coding, and processing invoices accurately.

Location:

This position is based on-site at One M&T Plaza, with four days in the office and one day working from home.

Primary Responsibilities:

• Monitors, creates, and distributes work orders to vendors and landlords, as needed, in the Tririga system.
• Tracks timely completion of work orders to meet service-level agreements (SLAs) and reviews and manages open obligations with mechanics, construction teams, and property managers.
• Reviews invoices, sends them to IDR for scanning, and codes them with appropriate commodity codes, general ledger descriptions, and cost distributions in the Oracle System.
• Applies general knowledge and understanding of building components, legal requirements, and property operations.
• Provides professional customer service when responding to questions and concerns from M&T employees and tenants of M&T administrative properties.
• Receives, codes, and distributes mail and shared email box for Property Management.
• Assists with project-related data entry.

• Understand and adhere to the Company’s risk and regulatory standards, policies and controls in accordance with the Company’s Risk Appetite.  Identify risk-related issues needing escalation to management.
• Promote an environment that supports belonging and reflects the M&T Bank brand.
• Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
• Complete other related duties as assigned.

Scope of Responsibilities:

This team includes four team members who collectively support more than 1,000 locations. Each representative manages an assigned region and partners with mechanics, property managers, construction teams, vendors, and landlords to help ensure service requests, invoices, and related administrative tasks are completed accurately and timely.

Education and Experience Required:

Associate’s degree in Business, or in lieu of a degree, a combined minimum of 2 years’ higher education and/or work experience

Customer service experience

Working knowledge of Construction and Property Management terminology

Education and Experience Preferred:

Minimum of 2 years’ customer service experience
