Summary:

 

The Facilities Manager oversees day-to-day facilities management operations across multiple Ashley retail locations within an assigned territory, ensuring brand standards, safety compliance, and operational excellence are consistently maintained. This strategic leadership role manages critical building systems, preventative maintenance programs, vendor relationships, and capital projects to protect Ashley's physical assets and enhance the in-store customer experience. The Facilities Manager serves as a key partner to Retail Operations, Construction, Real Estate, Design, and Finance teams while leading third-party vendor performance and driving cost-effective facility solutions.

 

Responsibilities:

 

Facilities Operations & Maintenance

 
  • Oversee day-to-day facilities management operations across multiple Ashley retail locations within assigned territory, ensuring brand standards, safety compliance, and operational excellence are consistently maintained
  • Ensure reliability of critical systems including HVAC, electrical, plumbing, mechanical, and safety systems across all assigned properties
  • Provide strategic oversight for preventative maintenance programs to protect Ashley's physical assets and enhance the in-store customer experience
  • Support production-critical utilities and equipment in manufacturing environments, where applicable
  • Respond to escalated facilities issues impacting store operations, delivering timely resolution while minimizing business disruption
  • Conduct regular facility inspections to identify maintenance needs, safety hazards, and opportunities for improvement
 

Leadership & Team Management

 
  • Assign work, prioritize tasks, and ensure timely completion of work orders across assigned territory
  • Lead and develop maintenance staff and coordinate resources to optimize operational performance
  • Promote a culture of safety, accountability, and continuous improvement throughout the facilities organization
  • Provide coaching, mentoring, and performance feedback to drive team excellence and professional development
 

Safety, Compliance & Risk Management

 
  • Ensure compliance with local, state, and federal regulations, including life safety, environmental, OSHA, and ADA requirements across all assigned properties
  • Conduct regular facility inspections, safety audits, and risk assessments to identify and mitigate potential hazards
  • Maintain emergency preparedness plans and coordinate response activities for facilities-related emergencies
  • Document and maintain accurate compliance records, inspection reports, and safety certifications
  • Implement corrective actions to address safety violations, compliance gaps, or regulatory deficiencies
 

Vendor & Contract Management

 
  • Lead and manage third-party vendor relationships across multiple trades (HVAC, electrical, plumbing, general maintenance, landscaping, snow removal, etc.), ensuring service level expectations, response times, and quality standards align with Ashley's performance benchmarks
  • Review, evaluate, and approve competitive bids for facility repairs, capital improvements, and service contracts; negotiate scope, pricing, and timelines to ensure cost-effective, high-quality outcomes
  • Initiate and coordinate execution of Master Service Agreements (MSAs) and vendor contracts in partnership with Legal and Procurement to ensure risk mitigation, compliance, and favorable commercial terms
  • Lead vendor onboarding, performance management, and termination decisions to ensure Ashley partners with high-performing, reliable service providers aligned with company values
  • Evaluate vendor performance through KPI tracking, service audits, and field inspections; implement corrective actions, performance improvement plans, or vendor transitions as needed
  • Maintain vendor documentation, insurance certificates, and compliance records in accordance with company standards
 

Budgeting & Planning

 
  • Develop and manage operating and capital budgets for facilities and maintenance across assigned territory
  • Serve as HELLO A/P Approver, overseeing back-office invoice processing, validating scope completion, cost accuracy, and proper coding prior to payment authorization to ensure financial integrity and budget adherence
  • Monitor and manage facilities budgets across assigned locations, identifying cost-saving opportunities while maintaining service quality and asset protection standards
  • Forecast future maintenance needs, capital expenditures, and resource requirements to support long-term planning
  • Support long-term facility planning, renovations, and space utilization initiatives in collaboration with cross-functional teams
 

Project & Space Management

 
  • Collaborate cross-functionally with Retail Operations, Construction, Real Estate, Design, and Finance teams to support store openings, remodels, relocations, and ongoing facility enhancements
  • Support facility projects including renovations, equipment installations, and space reconfigurations
  • Assist with the coordination of retail, office, warehouse, or manufacturing space planning to support operational needs
  • Manage project timelines, budgets, and stakeholder communications to ensure successful project delivery
  • Ensure minimal disruption to store operations during construction, maintenance, or improvement activities
 

Systems & Documentation

 
  • Utilize Corrigo or similar computerized maintenance management systems (CMMS) to manage work orders, preventive maintenance schedules, and asset records
  • Ensure accurate documentation of maintenance activities, inspections, and compliance records
  • Generate reports and analytics on facilities performance, costs, and key performance indicators
  • Maintain comprehensive asset inventories, equipment specifications, and warranty information
 

Qualifications:

 
  • High School Diploma or GED equivalent required
  • Minimum 5 years of progressive facilities or maintenance experience in retail, manufacturing, distribution, or commercial environments
  • Minimum 2 years of supervisory or lead experience managing teams or vendors
  • Strong working knowledge of building systems including HVAC, electrical, plumbing, and mechanical systems
  • Demonstrated experience managing vendors and maintenance budgets
  • Valid driver's license with clean driving record
  • Experience with computerized maintenance management systems (CMMS) such as Corrigo, FMX, or similar platforms
  • Strong understanding of preventative maintenance principles and asset management best practices
  • Proven ability to manage multiple priorities in a fast-paced, multi-site environment
  • Excellent problem-solving and troubleshooting abilities
  • Strong communication and interpersonal skills with ability to collaborate across all organizational levels
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to lift up to 50 lbs., climb ladders, and perform physical tasks associated with facility inspections
  • Willingness to travel within assigned territory with overnight stays; minimum of two site visits per year for each location in the assigned territory
 

Additional Qualifications, Preferred:

 
  • Technical certification or vocational training in electrical, HVAC, plumbing, or related field
  • Associate's or Bachelor's degree in Facilities Management, Engineering, Construction Management, or related discipline
  • Experience with building management systems (BMS) and building automation technologies
  • Project Management Professional (PMP) or Facilities Management Professional (FMP) certification
  • Experience in multi-site retail facilities management with 10+ locations
  • Knowledge of energy management, sustainability initiatives, and green building practices
  • Familiarity with construction project management and contractor coordination
  • Experience with budget forecasting, capital planning, and financial analysis
  • Background in contract negotiation and procurement processes
  • Knowledge of fire protection systems, security systems, and life safety equipment
 

Work Environment:

 

This role operates in a combination of office and active facility environments including retail stores, warehouses, and manufacturing facilities. The position involves exposure to moderate to high noise levels, temperature variations, and industrial equipment in operation. Physical requirements include lifting up to 50 lbs., climbing ladders, and prolonged periods of standing or walking on various surfaces. The role requires regular travel within assigned territory, including overnight stays, with a minimum expectation of two site visits per year for each location. May require occasional evenings, weekends, or on-call availability to respond to facilities emergencies.
