Qualifications

Position Overview

The Facilities Manager oversees facility operations, maintenance, vendor relationships, compliance, and repair activities across PrimeSource’s U.S. distribution network. The role will serve as a central point of coordination between local site leaders, external contractors, and corporate stakeholders to ensure safe, compliant, and cost-effective facility operations.

Key Responsibilities

  • Coordinate preventive and reactive maintenance for HVAC, fire/life safety, alarms, security systems, docks/doors, fencing, gates, and other critical building infrastructure
  • Build and manage strong relationships with vendors, service providers, and landlords
  • Conduct routine inspections and assess facility needs for repairs, replacements, or upgrades
  • Support site managers across the U.S. with operational facility requests and issue resolution
  • Monitor facility-related activities including waste & recycling, landscaping, asphalt/concrete repairs, dock & door repairs, structural damage, and core safety/maintenance areas
  • Track facility expenses, participate in annual budget development, and monitor spend variances
  • Follow procurement procedures including securing quotes, establishing new vendors, and supporting approval workflows
  • Maintain a centralized work order system for preventive and corrective maintenance across all sites
  • Conduct market research to evaluate vendors for cost, service levels, and operational impact
  • Maintain updated records of vendor W-9s, COIs, insurance coverage, and invoices
  • Ensure compliance with life safety and building safety regulations
  • Maintain up-to-date contact lists for landlords, utility providers, and vendors
  • Perform occasional on-site visits to supervise projects or major repair activities

Required Qualifications & Skills

  • Minimum 3 years of experience in Facilities Management required (multi-site preferred)
  • Strong working knowledge of facilities operations, including building mechanical, plumbing, electrical, HVAC, fire suppression, and life safety systems
  • Familiarity with lease language and vendor/service contract terms
  • Strong computer skills: Microsoft Office Suite required; MS Project preferred
  • Experience with facilities management software (CMMS) a plus
  • Excellent organization, prioritization, and vendor management skills
  • Strong judgment and ability to respond appropriately in urgent or emergency situations
  • Knowledge of relevant building safety, security, and environmental regulations
  • Facilities management certification (CFM, FMP, IFMA, etc.) is a plus

Working Conditions / Physical

This role may require:

  • Occasional lifting up to 25 lbs.
  • Occasional standing, walking, or climbing during facility inspections
  • On-site visits to warehouse or distribution environments
  • Valid driver’s license for travel

Work Schedule & Travel

  • Full-time, minimum 40 hours per week (Monday–Friday)
  • Up to 10% domestic travel
  • Must be willing to visit multiple PrimeSource sites as scheduled or as needed
